RESPONSIBILITY LEVEL:
The Project Coordinator Facilities is responsible for working with cross functional teams to determine scope and approach for projects. Responsible for gathering information from the teams and compiling into a document which include scope of work as well as cost for the project. Responsible for assuring all costs are captured and accurately represented in the scope of work. Responsible for managing day to day logistics. Will be held accountable to delivering documents according to the established service level agreements. Implements strategies to achieve the goals of the organization and Facilities Management Department. Sustains policies, procedures and programs. Typically works on projects and tasks that span 3 – 12 months.

PRINCIPAL DUTIES:
1. Manage and track project deliverables from the Facilities Department. Identify and work to remove barriers to successful completion of the overall project.
2. Responsible for sourcing of equipment, parts and services related to facilities maintenance.
3. Financial evaluation, management, and adherence to guidelines of project deliverables against budget.
4. Communicate with internal clients to establish expectations and manage changes to project scope, timelines, budget, and expectations.
5. Ensure accurate documentation of meeting decision points, action items, and open issues. Documenting meeting minutes and following up on important actions and decisions from meetings. Distribute meeting documents and resources to all appropriate parties in a timely manner.
6. Use communication software templates (such as SharePoint) to communicate meeting information, reminders and follow-up.
7. Keep program and client team up to date on action items and to do list during weekly team calls.
8. Set up and breakdown of in-person and virtual meeting spaces.
9. Creating and tracking contracts, purchase orders, submittals, and complete project close-out manuals.
10. Assists with the development of presentations and meeting content as needed.
11. Create a project management calendar for fulfilling each goal and objective.
12. Undertaking project tasks as required.
13. Organizing project stakeholders’ engagements/meetings and attending and participating in the meetings as required.
14. Project and Change Management: Effectively plans and manages own work to reliably complete routine job responsibilities and special assignments. Periodically serves as a team member or subject matter expert on formal or department projects. Effectively engages in change affecting her/him, communicating appropriately with supervisor. Follows through on learning, skill building, and practice necessary to adapt to change.
15. Problem Solving: General supervision, regular review of work by manager or senior coworker. May be paired with senior team member for development purposes. Uses skills to solve problems of routine complexity; able to identify root cause, interpret data, and resolve issues.
16. Technical Skills: Fundamental knowledge of professional principles and skills. Works in compliance with established procedures.
17. Community Engagement: Serves as an ambassador for Goodwill in the wider community. Participates in volunteer opportunities as schedules and interest permit.
18. Works to continuously improve relevant processes.
